Dashboard Widgets

1. General
Widget: A control or operating element (in English graphical control element or also widget) is an interaction element within a graphical user interface (GUI).
Any number of widgets can be added within a dashboard. It is also possible to create the same widget – e.g. the list view of a module – multiple times within a dashboard.
The size and the position of widgets can be freely configured.
2. Widget actions
The following actions are available for widgets:
2.1. Add widget
To add a widget to a dashboard, the button „Add widget" must be clicked.
If no widget yet exists in a dashboard, the info „Your dashboard does not contain any widgets yet", including an „Add widget" button, is displayed next to the „Add widget" button – which is always shown at the top right of the dashboard:

The following widgets are available for a dashboard:

- Cashflow
After selecting a widget by clicking on it, the configuration of the respective widget is displayed in the popup.
For detailed information on the configurations of the respective widgets, see section Available widgets.
2.2. Edit widget
Every widget has the actions icon „three dots" in the top right corner:

When editing a widget, more or less the same functionalities are available as when creating a widget. See section Available widgets for this.

2.3. Delete widget
Every widget has the actions icon „three dots" in the top right corner:

After clicking the icon, a flyout menu opens with the actions:

After clicking the action „Delete widget", a popup window is displayed with the question whether the widget should be irrevocably deleted:

After clicking the button „Confirm", the widget is deleted.
If a widget was deleted, e.g. by accident, the widget cannot be restored but must be created again!
2.4. Size of the widget
The size of a widget can be changed in two ways:
- Edit widget → in the „Choose display" area, select the desired size of the widget (small, medium or large)
- The widget can be changed in width and height by „dragging". To do this, hover the mouse pointer over the bottom right corner of the widget. The mouse pointer changes to a diagonal double arrow. With the mouse button held down, the widget can now be dragged to the desired size.
During this process, the content of the widget is hidden and the possible sizes are indicated by a dashed border.
After releasing the mouse button, the size is changed accordingly and the widget is permanently saved with the new size.
2.5. Position of the widget
The position of a widget can be changed using drag & drop.
To do this, hover the mouse pointer over the header of the widget. The mouse pointer changes to the „move cursor" (“four arrows").
With the mouse button held down, the widget can now be dragged to the desired position.
During this process, the content of the widget is hidden and the possible positions are indicated by a dashed border.
After releasing the mouse button, the position is changed accordingly and the widget is permanently saved with the new position.
Depending on how many widgets are already present on the dashboard, these may also be automatically moved to a different position during the move operation.
It may be necessary to repeat the move operation several times until all widgets are at the desired position.
3. Available widgets
The following widgets are available for a dashboard:
- List view of a module
- Notepad
- Email account
- Tasks & Appointments
- Tag Cloud
- Localisation
- Sales funnel
- Widget group
- Report
- Chart
- Cashflow
A widget can also be added multiple times within a dashboard.
The title of a widget can be configured in multiple languages when creating or editing a widget. Above the input field „Name" are the tabs for the respective languages. If the title of the widget is not explicitly translated into other languages, the German name is displayed by default if a user selects a different language.

3.1. List view of a module
In the widget „List view of a module", records of a module are displayed.

After selecting the widget, the configuration settings are presented as follows:

3.2. Notepad
In the widget „Notepad", short notes can be saved in order to always keep them in view.

3.3. Email account
In the widget „Email account", an email account can be selected to get a quick overview of emails.

3.4. Tasks & Appointments
In the widget „Tasks & Appointments", Tasks and/or Appointments can be displayed, e.g. to get a quick overview of the current Tasks and Appointments.

In the widget "Tasks & Appointments", by default only your own Tasks are displayed. The Tasks of specific groups can be shown via a popup.
After clicking the actions icon „Groups" (icon „user group"), a flyout menu opens. In this, the Tasks of all groups the user belongs to can be selected for display using a switch.

The setting for displaying group appointments is only temporarily valid. It applies only as long as no other tab on the home page is opened or the home page is left completely.
If a task is marked as done in the Tasks widget – both in the standalone Tasks widget and in the combined view – it is automatically hidden.
3.5. Tag Cloud
The widget „Tag Cloud" can be used to display tags from the system.

Regardless of which view (dynamic or static) was chosen for the widget, the following applies: When a tag is clicked, a search is performed for records that are marked with this tag.
The records found are then clearly displayed by module in a list view.

3.6. Localisation
The widget „Localisation" displays the distribution of Contacts, Organizations, leads and Partners on a map.

In the Localisation widget, no locations are displayed in the default display „Continent / World".
Locations are only displayed if a country is selected. To do this, click on the country on the map, or choose a country via the list in the wide widget. Zooming into the map is not sufficient.
The widget setting „Country" automatically selects the chosen country. The setting „World" or „Continent" initially does not display any locations.
3.7. Sales funnel
The sales funnel is a graphical representation of totals from the modules Deals, Sales Orders and Invoices.

Which fields serve as the basis for the summation can be configured individually for each module.
After selecting the widget, the configuration settings are presented as follows:

3.8. Widget group
The widget „Widget group" offers the option of displaying several widgets in one widget.

Apart from setting the display, no further settings can be made when creating the widget.
Widgets can be dragged into and out of a widget group using drag & drop in order to add them to a widget group or to remove them from a widget group.
3.9. Report
The widget „Report" shows the records of any Report from the module of the same name.
A report can be displayed or exported directly using the corresponding action:

3.10. Chart
The widget „Chart" enables the display of a chart which was configured in the list view of a module.

Selection of the chart: After clicking the actions icon „List" in the field „Chart", the popup window „Charts" opens, in which a chart can be selected for display in the widget:

Special action „Maximise widget" for charts: When a widget is edited, the action „Maximise widget" is available for the „Chart" widget in addition to the actions „Edit widget" and „Delete widget".
Using this action, a chart can be displayed maximised in a separate popup window:

3.11. Cashflow
The Cashflow widget is available exclusively in the CRM version brainX APP!
Overview
The widget „Cashflow" shows a forecast of future income and expenses over a defined period.
It serves to quickly overview a company's expected liquidity development.
The display is based on data from several system modules:
- Contracts (recurring revenue)
- Invoices
- planned instalments
- Deals from the sales pipeline
- planned costs from the controlling module Controllix
The widget helps management, sales and controlling in particular to identify and assess future Cashflow developments at an early stage.
Widget Cashflow
How it works
The chart compares income and expenses per period. This results in the expected Cashflow.
Income can come from the following sources:
- Contracts: recurring revenue from active Contracts
- Invoices: already invoiced revenue
- planned instalments: planned partial payments from projects
- Deals: potential revenue from open sales opportunities
Deals are shown as a dashed line in the chart, as this is potential and not yet secured revenue.
Expenses come from the module Controllix and can, for example, include:
- personnel costs
- license costs
- marketing costs
- rent
- depreciation
- other operating costs
Cashflow calculation
The Cashflow is calculated automatically per period:
- Cashflow = income – expenses
The result is displayed highlighted in the chart:
- Green: positive Cashflow (surplus)
- Red: negative Cashflow (deficit)
This allows critical periods to be identified quickly.
Chart types
The Cashflow widget can be displayed in three different chart types:
- Bar chart → Income and expenses are shown as bars per period. This display is particularly suitable for the direct comparison of individual periods.
- Area chart → The development of income and expenses is visualised as an area over time. This display is particularly suitable for identifying trends and developments over longer periods.
- Tabular display → Income and expenses are listed at record level in a table. Each record appears as a single row with the full date – no aggregation by month or quarter takes place. Separate CSV exports are available for income and expenses, which can be opened directly in Excel. This display is particularly suitable when the exact due date of individual items is in focus.

Typical use cases
- Liquidity planning → Management can identify at an early stage in which periods liquidity surpluses or shortages could arise.
- Sales management → Sales can see what influence pipeline Deals have on future liquidity.
- Budget planning → Controlling can analyse how planned costs affect the Cashflow and whether adjustments are required.
